Firm staff and client assignments

Seats decide which clients each person in your firm can see: partners see every client, analysts see only their assignments, and only owners and admins manage the roster.

Seats and organization roles

Two settings apply to everyone in a firm, and they answer different questions.

Organization role — owner, admin, or member
Who can run the organization: invite people, manage staff and assignments, and set the firm’s branding. Owners and admins can; members can’t.
Seat — partner or analyst
Which clients a person can see. A partner sees every client in the firm; an analyst sees only the clients assigned to them.

The last row is deliberate. In a firm, a member without a seat sees nothing rather than everything, so adding someone to the organization never quietly hands them the whole client book.

What restriction means

For an analyst, a client they aren’t assigned to doesn’t exist: its tile, its alerts, its dashboard, and its board packs all answer “not found” rather than “not allowed”. That is intentional — telling an analyst a client exists but isn’t theirs would itself reveal something about the firm’s book.

A restricted analyst can’t view the staff roster or change staff, assignments, or branding.

Manage seats and assignments

Owners and admins manage this under Advisor → Team:

  1. Invite the person to your organization from the Team page in settings. Once they’ve accepted, give them a seat.
  2. Under Add staff member, enter their user ID, choose Partner or Analyst, and select Add member.
  3. In the Staff roster, use Manage clients to tick the clients an analyst covers. Changes apply on their next request.
  4. Change a seat from the role picker, or select Remove to take it away.

Assigning a company a client has shared with you to an analyst isn’t available on the Team page yet.
